Task Overview

Tasks will be one of the main screens you use for logging information and attaching it to a module or entity within Brilliance CRM.

Note: All of the drop downs are customizable to meet your unique business needs. The defaults that come out of the box are there to meet most business needs.

  • Overview
    • Regarding: Who the task is related to. This can be Accounts, Leads, Opportunities, or Projects/Jobs.
    • Category: The main category for this task.
    • Title: A brief description of the task. Think of this like you would the title of a book.
    • Task Number: This is automatically assigned once saved.
  • General
    • Status: The status of the task (e.g., Not Started, Cancelled, In Progress, Waiting on the Customer, or Completed).
    • Priority: The priority (e.g., Normal, Low, or High)
    • Assigned To: Who the task is assigned to. You can assign to one or more users within the system.
    • Notify: Who you want to notify. These can be employees, the customer, etc. These users need to be a user within the system. To assign to a userwho doesn't have an account see the Miscellaneous tab.
    • Start Date: The date the task is to start.
    • Due Date: The date you want the task to be completed.
    • Completed Date: The date the task actually was completed.
    • % Complete: The percent of completion the task is currently at.
    • Estimated Hours: The estimated number of hours that it will take to complete the task.
    • Billable Hours: The number of hours that are billable for the task.
    • Send Notice to Client on Change: Should a notice be sent to the customer whenever the Save Task button is clicked.
    • Send Notice to Client on Complete: Should a notice be sent to the customer when the task is complete.
    • Save to Feedback: Should information be saved to the Feedback module. For more on Feedback, see the Feedback overview knowledgebase article.
    • Billable: Should this task be considered billable.
    • Billed: Has this task been billed.
    • Task Completed: Check when the task is completed. This will also set the Status to completed, Completed Date to the current date/time, and the Percent Complete to 100%.
  • Details
    • The complete details of the task and work that is needed to be completed.
  • Docs
    • See the documents knowledge base article overview on using documents.
  • Miscellaneous
    • Full Name: A name of a person to receive the notifications related to this task that are not a user within the system.
    • Email Address: The email address of the person that is in the full name above.
    • Phone Number: The phone number of the person that is in the full name above.
    • Quantity: If a quantity pertains to this task, you would put it here.
    • Price: If there is a dollar value associated with this task you can list it here.
    • Mileage: Put any mileage that relates to this task.
    • Expenses: Put any expenses that are related to this task.
    • Display Order: The display order sets the priority order within any reports and grids in the system. This order for grids can be changed based on the users grid settings.
    • Related Tasks: Any tasks that are related to this task.
    • Tags: Tags help you categorize the information the way your business may need.
    • Created By: A read-only field of the person that created the task.
    • Created Date: A read-only field for the date/time the task was created.
  • Work Notes
    • Work Hours: The number of hours related to the work notes you're about to put below.
    • Work Notes: Notes that are visible to your customer.
    • Work Notes (Internal Only): Notes that are visible only to you and your fellow employees.
